Church Guide
What to Expect When a Partner Comes to Serve
A step-by-step guide for churches β from booking confirmation through payment release.
We've designed ChurchConnect to make partnering with ministry professionals as smooth as possible. This guide walks you through everything that happens from the moment a booking is confirmed to the moment the service is complete and your Partner is paid. Following these steps protects your church and ensures a great experience for everyone.
Step 1 β Booking Confirmed
Immediately after booking
- You'll receive a confirmation email with the Partner's name, ministry category, service date, time, location, and agreed fee.
- The service fee is charged to your payment method and held securely in escrow β the Partner does not receive payment until after the service is complete.
- Check your ChurchConnect dashboard to review booking details at any time.
- Save the confirmation email β it contains important details including a link to contact your Partner through the platform.
Step 2 β Connect Before the Day
2β5 days before the service
- Reach out to your Partner through the ChurchConnect messaging system to confirm logistics β parking, entrance, dress code, setup time, and any special instructions.
- Share any materials the Partner needs in advance: service order, song list, script, tech specs, or floor plans.
- Confirm the Partner's arrival time (we recommend at least 30β60 minutes before the service start for setup).
- Introduce the Partner to your point of contact for the day β the person they should report to on arrival.
- If your Partner hasn't responded within 48 hours of reaching out, contact helpcc@churchxconnect.com so we can follow up.
Step 3 β Day-Of Checklist
The day of service
For your point of contact to handle on the day:
- Greet the Partner warmly when they arrive and show them where to go, park, and store their belongings.
- Introduce them to any church staff, tech team, or volunteers they'll be working with.
- Confirm the scope of service and any last-minute changes before it begins.
- Ensure any equipment, instruments, or materials your church is providing are ready and tested.
- If the Partner has questions or concerns, address them before the service β not during.
- Children's Ministry: ensure your church's child safety and two-adult policies are in place before the session begins.
Step 4 β During the Service
While the Partner is working
- Allow the Partner to do their job with minimal interruption once the service begins.
- Keep a designated point of contact available throughout in case an issue arises.
- Respect the Partner's professional judgment within the scope they were hired for.
- Do not ask Partners to perform tasks outside their agreed scope without discussing compensation for the additional work.
- If a serious concern arises (safety, conduct, or quality), address it promptly with your point of contact and, if needed, contact ChurchConnect support.
Step 5 β Mark Complete and Release Payment
After the service β action required
β Log into your Church Dashboard β Bookings β Mark as Complete
This is the trigger that releases funds to the Partner. Please do this promptly.
- Once you mark the booking Complete, ChurchConnect initiates the payout to the Partner (typically 2β5 business days to their bank).
- If you do not mark it Complete within 72 hours, the payment releases automatically to the Partner.
- Only mark Complete if the service was performed as agreed. If there is a dispute, open one before marking Complete.
- Do NOT pay the Partner directly in cash or outside the Platform β this violates your Terms of Service and voids any protections.
Step 6 β Leave a Review
After marking complete
- Your honest review helps other churches make informed decisions and helps great Partners grow their ministry.
- Rate the Partner on professionalism, quality, communication, and punctuality.
- Write a brief summary of your experience β be specific and fair.
- Reviews must be factual and not contain personal attacks, discriminatory language, or false claims.
- If you had an exceptional experience, consider re-booking the same Partner for future needs.
If Something Goes Wrong
β Partner doesn't show up
Contact the Partner immediately through the platform. If unreachable within 30 minutes, email helpcc@churchxconnect.com. Do not mark Complete. A full refund will be issued if the Partner fails to appear without valid cause.
β Service quality was unsatisfactory
Do NOT mark Complete. Open a dispute through your dashboard within 72 hours of the scheduled service, explaining the issue in detail. ChurchConnect will review the dispute and respond within 2 business days.
β Partner behaved inappropriately or made you uncomfortable
Report immediately to helpcc@churchxconnect.com. Do not attempt to resolve conduct issues directly. ChurchConnect takes all conduct reports seriously and will investigate promptly.
β Safety emergency on premises
Call 911 first. Contact ChurchConnect after the immediate emergency is resolved. Partner accounts involved in safety incidents are suspended pending investigation.
Your Church's Safety Policies Always Apply
ChurchConnect Partners are guests in your ministry. Your church's own safety, child protection, and facility policies take precedence on your premises at all times. ChurchConnect's background checks and Code of Conduct are a supplement to β not a replacement for β your church's own screening and onboarding procedures. We encourage every church to maintain their own Safe Church or Child Protection Policy and to apply it consistently to all guests, including ChurchConnect Partners.
